Ensure that the contract includes any time required for
decorating the room, or for the caterer to set up prior
to the event. Decorating time is charged at half the normal
room rental.
- If you need to get into the facility prior to 8:00 am, make sure that this is specified on the contract. This will ensure the building will be open. There is an additional fee to open the building early.

Sign and return both copies of the Waco Convention Center
Contract. Also sign and return the Confirmation Sheet. Please include the deposit when you mail these back. Keep the Terms and
Conditions for future reference.
- Assuming no changes have been made, the contract will be reviewed and approved
by Management, and a contract signed by both parties will be sent to you.

Obtain event insurance. Insurance is required for all
events held in the Waco Convention Center.

Obtain security for event, if required. Security is required
for any event where alcohol is being served, events with
dancing and other events as deemed necessary by Waco Convention
Center Management.
- Call or email Patty Byrd at (254) 750-5829 and tell her which outside
caterer will be used. Caterer used must be on the approved
catering list.

at (254) 750-5810 at least 4 weeks prior to the event
in order to arrange in-house catering. Lock in your final numbers for catering no less than seven days in advance to avoid possible additional charges.

Call or email Terry
Collier at (254) 750-5808 at least 4 weeks prior to
the event in order to arrange room layout. The deadline for giving us final numbers for setups and audio/visual is 7 days in advance; any less time, and fees for setups go up considerably.
