- Quarterly Conventions & Tourism Discussion Group: This quarterly meeting is open to anyone interested in conventions & tourism. The staff of the CVB gives reports, and then the floor is opened to updates from hoteliers, attractions, tourism-related businesses, and others. This meeting is open to both Waco hoteliers and non-Waco hoteliers. To be included on the distribution list, email carlap@ci.waco.tx.us. You'll also automatically be included on the mailing list for the Convention Alert newsletter (see below).
- Quarterly Convention & Events Alert Newsletter: This email-only newsletter is sent to a list of businesses and individuals who are interested in conventions & tourism. The newsletter details the conventions and events coming to town and includes some background information about them. To be included on the distribution list, send an email to carlap@ci.waco.tx.us.
- The Waco CVB website at http://www.wacocvb.com enjoys over a
million visits per year. The website lists restaurants, attractions
and other sites of interest in the greater Waco area.
- The website includes only hotels located in the city limits of Waco, because the major source of our funding is hotel/motel occupancy tax, collected by these hotels.

Calendar of Events - Website
- The calendar is the most-visited page on the website. Anyone can
post events on this calendar. Click
here to go to the Waco calendar of events, and scroll down to
"Post a New Event" to get started.
- If you prefer, you can fax your event information to (254) 750-1694 or email it to Liz Andrews. We do not accept event information by phone.
Calendar of Events - Printed Version
The printed calendar of events is distributed to key visitor locations around the Waco area, including most area hotels. The printed version is generated from the Online Calendar of Events, so you must submit your event to the online calendar to have a chance to be on the printed version. We do not guarantee inclusion of your event. Events must be submitted to us no later than the 1st day of the month prior to the month of the event. For example, an event taking place in May will need to be submitted to the Online Calendar no later than April 1st.
Entries from the online calendar of events are also submitted to other events calendars around the state. Here are the deadlines for possible inclusion:
- Sept., Oct, Nov. Events - May 20th
- Dec., Jan, Feb Events - Aug 20th
- Mar, Apr, May Events - Nov 20th
- June, July, Aug - Feb 20th
- If you submit the information via email or fax, it must be submitted no later than the 25th of the month 2 months prior to the event date in order to be included on the printed calendar. For example, an event taking place in May will need to be submitted no later than March 25th. Events can be submitted as early as you like including several years out.
